Position Title: Office Administrator

Primary Responsibilities: Keough Mechanical is seeking an Office Administrator to work alongside of the Office Manager, joining our team based in Merrillville, Indiana. The ideal candidate enjoys nuts and bolts operations and takes pride in getting the details right. We are looking for a team player who will be efficient and resourceful in ambiguous environments, with an ability to manage a large volume of tasks at any given time. Job requirements include, but are not limited to, the following tasks:

Keough Mechanical is seeking an Office Administrator to work alongside of the Office Manager, joining our team based in Merrillville, Indiana. Job requirements include, but are not limited to, the following tasks:

• Union Employee Maintenance

• Payroll Processing and Reporting

• Accounts payable/receivable

• Journal entries

• Month end close

• Bank reconciliations

• Prepare Schedule of Valves

• AIA monthly billing

• Lien Waivers

• Service Work Billing

• Certified Payroll

• Audit Preparation (Workers compensation, Union reports)

• Project job costing

• Work in progress reporting (WIP)

• Issuing subcontracts and purchase orders

• Scheduling service calls with Technicians

• Assist Project Managers and Administration

• Bidding Support

• Licensing/Registration Application and Maintenance

Skill Set Required:

  • Associate’s or Bachelor’s Degree in Accounting, or related field of study

  • Software experience of Sage, Excel, Word, Outlook, Textura, Procore, Corrigo Pro and Plan Grid

  • Fundamental knowledge of Generally Accepted Accounting Principles (GAAP)

  • Excellent verbal, written, presentation, and interpersonal skills

  • Strong listening skills and attention to detail

  • Ability to multi-task and problem solve in a fast-paced environment

  • Desire to dig in and do what’s needed to get the job done right
